Information you provide

When you request a consultation, we collect your name, business name, email address, and the details you submit about your website and project. Phone numbers, website addresses, preferred times, and additional messages are optional. Please do not send passwords, payment card details, government identification numbers, or other sensitive information through the form.

If you book an appointment, we also store the selected time and consultation goal. In a protected client portal, we store your website brief, comments, change requests, and approval responses. Staff may add business visit notes and project photos, logos, PDF documents, and text files. Our internal workspace also stores private assignments, scripts, attachments, replies, read status, sales goals, owner-entered commission records, assigned training, lesson completion, quiz answers, scores, and attempt history. Training results are visible to the learner and workspace owner. Owner-uploaded training screenshots are stored privately and require sign-in and the relevant guide access. Loading an external reference image connects to its provider. Assignment conversations are accessible to the owner and their participants. Only provide or share materials you are authorized to use.

Alcide website assistant

The Ask Alcide chat explains our published services and packages. Its engineer avatar is a fictional assistant character. Messages remain in your current page session and can be cleared with New chat. For AI-assisted replies, your question, up to six recent messages, and approved public studio information are sent to the configured AI provider (Groq or OpenAI). We do not save the conversation in our database. Provider processing and retention follow its settings and policies. Usage counters are stored to limit abuse and cost. The assistant cannot access private accounts, submit requests, make bookings, or process payments. Use the project form or consultation page to take those next steps, and keep sensitive information out of chat.

Optional business guide

A business may enable a question-and-answer guide using its published service menu, prices, hours, policies, and approved answers. Questions are processed to return a reply. If generative AI is enabled, the question and approved public business facts are sent to the configured provider (Groq or OpenAI); private customer accounts, appointment histories, and payment records are not included. For OpenAI, we request that responses are not stored as response objects. Retention and processing depend on the selected provider and its settings. The guide does not keep a server-side conversation history. Question-rate counters are stored for abuse and usage limits. Please do not enter sensitive personal or payment details. The guide cannot confirm or change a booking or payment; use the booking form and customer account.

How we use it

We use this information to respond to your request, arrange a conversation, prepare a proposal, deliver agreed services, and manage related client communications. Authorized team members can access relevant records in our business workspace.

Website operation and providers

The website and workspace use hosted infrastructure and a database to store records and private object storage for project files. Project files require staff sign-in and project access. Technical information, including your IP address, may be processed for security, request limits, and operation of the service. Staff sign-in and protected client portals use authentication cookies. Account preferences include your workspace theme. Our website does not currently add advertising trackers.

If configured and used, Stripe processes one-time payments and any agreed recurring maintenance subscriptions on its own checkout page, Resend handles outgoing email, and Zoom handles business calls and its own sign-in. These providers process information under their respective privacy policies. We do not store payment card numbers or Zoom passwords in the workspace. Opening the staff Zoom panel connects to Zoom. Staff Business Finder loads a Google Maps viewer only after a search is submitted. This sends the search terms and ordinary connection information to Google under its privacy policy. Prospect details entered into our form are stored in the workspace; map listings are not imported automatically.

Website availability monitoring makes requests to the public websites staff choose to monitor. Stored results include the website address, response status, timing, and recent check history. Automated checks may run while the workspace is closed.

Your choices and contact

To request access, correction, deletion, or a copy of your information, or to ask us to stop marketing contact, email hello@alcidedigitalworks.com. Identify the relevant account or service without sending passwords or identification documents. If you disagree with our response, reply and request a review. We will handle applicable requests and appeals within the time required by law. Rights and exceptions depend on your location and our role in processing the information. If your information belongs to a salon or another business using our tools, identify that business so we can direct or assist with your request.

Submitting a project inquiry is not an agreement to receive unrelated promotional messages. You can ask us to stop marketing communications while still receiving necessary service or billing messages.

Children and sensitive information

Our agency website is intended for business customers, not children under 13. Do not submit children’s personal information or unnecessary health, financial, or other sensitive information. Contact us if you believe such information has been submitted so we can review it.

We may need to verify your identity and retain information required for legal or accounting purposes.
